Privacy policy

Effective date : 16 October 2026

This English text is for convenience. The Dutch version is legally authoritative. Privacyverklaring

In short

  • We process only what you send us or what we need to run your session and invoicing.
  • No ad cookies, no sale of data, no AI training on your recordings.
  • Working files are kept for up to 18 months after the last session, then deleted.
  • Requests: [email protected] — we aim to reply within 3 business days where possible.

1. Who is responsible?

Prozoneova B.V. ("Prozoneova"), a private limited company (B.V.), Transformatorweg 7, 1014 AA Amsterdam, is the controller for personal data processed on prozoneova.click and in our studio: enquiries, bookings, recording, mixing, mastering and podcast work.

Managing director: Maarten Jansen. Trade register 91986385, VAT NL806146953B01. Privacy contact: [email protected] or 020 737 4829. We have not appointed a data protection officer; it is not required for our size.

Company details: legal notice. Where you are the controller and we execute on your instructions, our data processing agreement applies.

2. Scope

This policy covers website visitors, people who contact us and clients who book services such as vocal recording, live recording, mixing, mastering or podcast recording.

If you hire us to record guests or artists for your production, you are usually the controller for those individuals. We then act as processor; see the data processing agreement and our guide on podcast guest rights.

3. Data we collect

Contact form: name, email, phone (optional), chosen service, preferred date (optional) and project description. We need the mandatory fields to respond; if they are missing we cannot send a tailored estimate.

Booking and delivery: billing details, artist or band name, scheduling, email and phone messages, payment references. A deposit of 35% applies under our terms and conditions. Card payments at the bank terminal are handled by the bank; we do not store card numbers.

Recordings and session files: voice and performance are personal data when you are identifiable. We use them only to deliver the agreed service. If you film in the studio, you remain responsible for footage of others.

Technical: host TransIP B.V. keeps server logs (IP address, time, page requested) for security. Your cookie choice is stored locally; see cookie policy.

We do not ask for special-category data. Online booking is intended for people aged 18 and over.

We do not sell or rent data. No marketing newsletters. Published rates include 21% VAT, for example vocal recording from €108 per hour.

5. Voice, image, AI and publicity

Session audio, photos taken in our rooms and your name stay off prozoneova.click and our channels unless you give us written permission first.

Your takes are not fed into machine-learning pipelines, benchmark datasets or synthetic-voice tools. Cloning a performer’s voice requires that person’s separate written approval.

Podcast productions with third-party guests: guest-rights guide. When you book as a company, guest notices and releases stay your responsibility.

6. Recipients

Only Prozoneova team members access data as needed for their role. Data may be shared with:

  • TransIP B.V., website hosting (see legal notice);
  • FormSubmit (formsubmit.co), forwarding the contact form to our mailbox;
  • our accountant, bound by confidentiality, for billing data;
  • our bank, for payments;
  • authorities, when required by law.

Every processor has Article 28 GDPR terms. Business clients: data processing agreement.

7. Transfers outside the EEA

Hosting and mail are with providers in the Netherlands or EU. FormSubmit is operated from the United States: form contents pass through that service before we receive them. The transfer is necessary to handle your request (Art. 49(1)(b) GDPR).

To avoid that route, email [email protected] or call 020 737 4829 directly; we handle the request the same way.

8. Security

Measures include TLS on the website, role-based access for the three-person team, strong credentials, locked studio doors outside bookings, disk encryption on workstations where supported, and scheduled wipe of project folders after 18 months of archive.

Should an incident likely harm your rights, we alert the Autoriteit Persoonsgegevens and contact you when the GDPR demands it. Internet transfer always carries residual risk; after data reaches us we treat it under this policy.

9. Your rights

Under the GDPR you may ask for access, correction, deletion, restricted processing, data export, or object where we rely on legitimate interest; you may also withdraw consent. Write [email protected] or send post to Transformatorweg 7, 1014 AA Amsterdam.

Our deadline is one month, with up to two extra months for difficult cases if we explain why. Requests are normally free; repetitive or clearly unfounded ones may incur a fair administrative charge. We can request ID when we cannot verify who is asking.

Complaints go to the Autoriteit Persoonsgegevens, autoriteitpersoonsgegevens.nl. Try contact with us first—most studio clients solve privacy questions in one exchange.

10. Cookies

No analytics or advertising cookies. Only your choice in localStorage under przn_consent_v1 for 182 days. Details: cookie policy. Change settings: .

11. External links

The site links to OpenStreetMap for directions (contact). Those sites have their own policies; we are not responsible for their processing.

12. Changes

This policy is informational and does not limit your statutory rights. We update it when services or law change. Effective date: 16 October 2026. Earlier versions available on request.
